A supplier consolidation checklist for overseas buyers

Organise supplier deliveries and carton records before combining purchases from China.

Build one supplier and purchase record

Create a reference for each supplier and purchase order. Record the supplier contact, collection or delivery address, product list, quantity and expected readiness. Keep changes in the same shared record.

Confirm who will deliver each purchase to the consolidation location and who will handle any collection. Ask suppliers to label cartons with the agreed buyer and order reference.

Keep packing and invoice information aligned

Request carton counts, package dimensions, gross and net weights, and a clear product description. A packing list describes the contents of a shipment; it serves a different purpose from the commercial invoice.

For receiving, ask the warehouse to record what arrived against the supplier reference. Agree how shortages, damage or unidentified cartons should be escalated before repacking or onward shipment.

Agree the release instruction

Specify whether orders may ship separately or must wait for the full supplier group. Confirm any inspection, relabelling or repacking request in writing and identify who may authorise extra work.

Before release, reconcile the final package record and the documents for the destination. Combining supplier purchases does not by itself confirm product acceptance, customs clearance or a delivery date.
