Prepare the handover before the rush.

Seasonal order plans work better when products, inventory arrivals, packing instructions and dispatch needs are agreed early. Confirm current channel conditions for the actual shipment.

A practical preparation sequence

  1. 1

    Forecast the work

Separate normal orders, expected peak orders and bulk replenishment. Share estimated ranges and dates instead of treating a forecast as a confirmed booking.

  2. 2

    Coordinate incoming stock

Confirm supplier readiness, SKU identification and warehouse arrival windows. Resolve missing quantities or packing instructions before peak dispatch.

  3. 3

    Test the packing handover

Use a representative order to confirm packaging, inserts, labels and the file used to hand over orders.

  4. 4

    Confirm the dispatch plan

Review the applicable product/channel, destination, weight calculation, fee components and dispatch or delivery milestones.

For U.S. specialist products

Prepare product-specific information for contact lenses, cosmetics and dietary supplements. Do not assume that an earlier channel or quote is automatically applicable to a different product, destination or season.

For general merchandise, prepare the same packed shipment and destination details so the current service can be reviewed on equal terms.

For overseas sellers using China fulfillment

Share supplier arrival dates and the actual order data needed for pick, pack and label work. Confirm packaging materials and the cutoff or handover arrangement with the warehouse.

Platform/API connections, guaranteed cutoffs and processing capacities should only be stated after the specific workflow is confirmed and tested. Start with an agreed order-file workflow when appropriate.

For buyers and distributors

Plan supplier consolidation before the last purchase batch arrives. Prepare an arrival list, receiving and carton instructions, and the intended air or sea handover scope.

Keep a clear distinction between the buyer's business location and the cargo's actual destination. Freight terms and import responsibilities should match the chosen destination.

Discuss your next Q4 handover.

Provide the products, shipment or inventory profile and the date you are preparing for. Current service conditions belong in the proposal.
